Cancellations

At Outdoor Studio, every order is handled with careful planning, attention to detail, and a strong commitment to craftsmanship. Since many of our products are made to order, customised to project requirements, or specially prepared based on client selections, the cancellation of an order is subject to the stage of processing, nature of the product, and extent of work already initiated.

We request all customers to review their order details, dimensions, finishes, fabric selections, quantities, delivery requirements, and site conditions carefully before confirming the order.


Order Confirmation and Production Planning

Once an order is confirmed, our team begins internal coordination for design review, material planning, production scheduling, vendor allocation, and dispatch preparation. In many cases, products are not picked from ready stock but are manufactured or finished specifically against a confirmed order.

For this reason, cancellation requests can only be considered within a limited window after confirmation and only if no substantial work has commenced.

If production, fabrication, weaving, cutting, finishing, upholstery, material procurement, packing, or dispatch planning has already started, cancellation may not be possible.


Cancellation Eligibility

A cancellation request may be considered only under the following circumstances:

  • The request is made promptly after order confirmation

  • Production or procurement activity has not yet begun

  • No customised design, finish, or made-to-order work has been initiated

  • No materials have been specially ordered, reserved, or allocated for the customer’s requirement

  • The order is not part of a bulk, institutional, hospitality, builder, project, or commercial supply schedule

All cancellation requests are reviewed individually by our team based on the order stage and internal production status.


Non-Cancellable Orders

Certain order categories are generally non-cancellable once approved or confirmed. These include, but are not limited to:

  • Customised furniture orders

  • Made-to-order products

  • Products manufactured in client-approved finishes, fabrics, or dimensions

  • Project-based orders

  • Bulk quantity orders

  • Institutional, hospitality, or commercial orders

  • Orders produced specifically against approved drawings, mock-ups, or material selections

  • Orders for which raw materials, hardware, fabric, stone, glass, aluminium, wicker, rope, or special components have already been procured or reserved

As these orders are often created specifically for a client and may not be suitable for resale, cancellation cannot usually be accommodated once work has moved beyond the initial confirmation stage.


Cancellation Request Process

If you wish to request a cancellation, you must contact Outdoor Studio immediately with complete order details. This should include:

  • Customer name

  • Order number or invoice reference

  • Date of order confirmation

  • Product details

  • Reason for cancellation

  • Contact information for further communication

Prompt communication is extremely important. A delay in sharing a cancellation request may reduce the possibility of approval, especially if production or procurement has already started.


Cancellation Review and Approval

Submission of a cancellation request does not automatically mean that the cancellation has been accepted.

Each request is reviewed by our internal team based on factors such as:

  • Nature of the product ordered

  • Degree of customisation involved

  • Stage of design, production, or procurement

  • Material allocation status

  • Labour and processing already committed

  • Packaging, dispatch, or installation planning already undertaken

Outdoor Studio reserves the sole right to approve, partially approve, or decline a cancellation request after reviewing these factors.


Applicable Deductions

If a cancellation request is accepted, the refund amount, if any, will be processed only after deducting applicable charges incurred up to that stage. These may include:

  • Design and consultation charges

  • Drawing or custom development costs

  • Material procurement expenses

  • Sampling or mock-up costs

  • Labour already engaged

  • Fabrication, weaving, finishing, or upholstery work already completed

  • Handling, administration, and processing charges

  • Packaging or logistics-related expenses already incurred

The exact deduction will depend on the order status and actual costs committed at the time of cancellation.


Refund Timelines

Where a cancellation is approved and a refund is applicable, the refund will be processed within a reasonable period after internal review and adjustment of all relevant charges.

Refunds will generally be made through the original mode of payment or another mutually agreed method, subject to applicable accounting procedures.

Please note that banking timelines, financial processing cycles, and documentation requirements may affect the final credit timeline.


Changes vs Cancellation

In some cases, instead of cancelling an order entirely, limited modifications may be considered if the order has not progressed too far in production.

Possible changes may include:

  • Revisions to quantity

  • Changes in finish

  • Fabric adjustments

  • Delivery coordination updates

However, feasibility depends on the stage of the order and production planning. Approved changes may affect price, timeline, and delivery schedule.


Bulk Orders, Project Orders, and Commercial Supplies

For builder projects, hospitality projects, architects, institutional buyers, villas, clubhouses, commercial spaces, and other bulk or project-based orders, cancellation terms may differ.

These may be governed by:

  • Approved quotations

  • Work orders

  • Purchase orders

  • Commercial agreements

  • Project-specific contracts

Where applicable, the terms agreed in those commercial documents will prevail along with this cancellation policy.


Orders Delayed Due to Customer Reasons

Outdoor Studio shall not be responsible for delays caused by:

  • Pending approvals

  • Unavailable site conditions

  • Delayed measurement confirmation

  • Specification changes

  • Non-ready site access

  • Delayed communication from the client

Such delays do not automatically qualify an order for cancellation without charges if production or procurement has already begun.


Right to Refuse Cancellation

Outdoor Studio reserves the right to refuse any cancellation request where:

  • The product is customised or made to order

  • Manufacturing or procurement has already begun

  • The order involves special materials or bespoke finishes

  • The order is part of a larger project or committed supply schedule

  • Cancellation would result in material, labour, or commercial loss that cannot reasonably be reversed

All such decisions remain at the sole discretion of Outdoor Studio.


Customer Responsibility

Customers are encouraged to confirm all specifications carefully before placing or approving an order. This includes reviewing:

  • Dimensions

  • Finish selections

  • Upholstery choices

  • Model references

  • Project quantities

  • Site access requirements

  • Delivery expectations

A confirmed order initiates planning across multiple teams, and cancellations become increasingly difficult once execution begins.
